Under the general supervision of the CFO in all phases of carrying out the duties listed below. Responsible for processing monthly expense reimbursement submission of Federal, State, Local and other grants in accordance with applicable Federal and State guidelines, and Uniform Guidance, post-award grant administration, managing grant records, reporting procedures and timetables, and other related accounting duties required by funders. The Staff Accountant will work closely with the DOF on day-to-day operations of the Accounting Department to ensure reconciliations, schedules and documentation for monthly closings, quarterly reviews, and the annual audit are accurate, reasonable, and completed in a timely manner.
Basic Qualifications:
- Bachelor's degree in business administration, Accounting, Finance or equivalent work experience
- Minimum of 1 year work experience with budgets and grants/contracts.
- Intermediate or above proficiency in Excel required. Ability to work fast and use Excel in a way that promotes automation, fast processing, and validation of data is an essential function of the scope of work
- Experience with and understanding of accounting systems that utilize multi-departmental entry and reporting
- Versed in accounting concepts, GAAP
- Experience with SAGE preferred

Knowledge and Abilities:
- Accounting for non-profits (understand accounting by funding sources, programs, A/R management)
- Be aware of and adhere to all HIPAA rules and regulations and must be an active participant in safety measures for ensuring confidentiality of information as it relates to clients and this agency.

- Technical expertise required; Intermediate Microsoft Word and Excel (SUM, SUMIF, SUMIFS, Data Validations, TRUE/ FALSE, Other). Ability to work fast and use Excel in a way that promotes automation, fast processing, and validation of data is an essential function of the scope of work

Responsibilities:
- Prepares ledger entries to maintain grant activity accounts
- Prepares reimbursement / drawdown packages for requesting funds
- Prepares and assist COF filing reports required of the grant including close outs
- Monitors grants to assure compliance with policies for expenditures
- Review monthly accounting close, flag inconsistencies, and submit adjusting journal entries as needed;
- Review and approve invoices, staff allocations, and expense reports
- Assist with closing process
- Assists with annual financial audit, single audit and preparation of corporate tax return
- Maintains the fiscal management of grants & contracts in accordance with government regulations, and donor requirements.
- Gathers and analyzes all necessary supporting documents to support reimbursement requests.
- Prepares and generates financial reports for a variety of reporting requirements to funders and for management analysis
- Ensures invoicing and reporting of costs comply and adhere to GAAP, Uniform Guidance Title 2 CFR 200, and funder specific regulations
- Assists with reporting program and financial information quarterly, annually, or as needed. Assist during the annual audit.
- Assists with collecting, maintaining, and updating monthly supportive services financial data.
- Accurately prepares and submits monthly or periodic grant invoices and annual, quarterly, monthly reports for a portfolio contracts/grants accurately and on a timely basis.
- Assists to resolve any issues surrounding grant invoices, including disallowed expenses or technical issues. This means working collaboratively with accounting department, funders, and program staff
- Performs periodic reconciliations of GL accounts (Balance Sheet and Income Statements) and back months to ensure grant funding is maximized
- Assists with preparation of grant budgets and budget modifications; mostly technical set up.
- Tracks grant budgets monthly to ensure funder compliance and maximum utilization; recommend strategies to ensure spend down.
- Prepares grant variance and other ad hoc reports for management
- Performs other duties as assigned by the CFO
- Maintain a neat, clean and orderly work area.

- Complete all necessary paperwork related to the position and/or yourself in a timely manner
