At ACA Solutions Hub, we’re on a mission to improve employee well-being through innovative wellness programs offered nationwide. We're looking for a highly detail-oriented Payroll Specialist to support our wellness program operations by setting up, managing, and maintaining payroll system configurations—not running payroll, but working within payroll platforms to ensure correct coding, deductions, and reimbursements.
About the Role:
As a Payroll Specialist, you’ll work closely with our implementation and operations teams to configure wellness-related payroll codes, manage deduction and reimbursement setups, and ensure seamless integration between our wellness benefits and client payroll systems. Your deep understanding of payroll platforms and benefits processing will be critical to our success.
Responsibilities:
- Set up and maintain payroll deduction and reimbursement codes specific to wellness program offerings.
- Collaborate with clients and internal teams to ensure payroll codes are correctly configured in systems such as ADP, Workday, Paycom, Gusto, or similar platforms.
- Ensure data integrity and troubleshoot any discrepancies related to deduction/reimbursement tracking.
- Create documentation or guides for clients and internal teams on how to manage wellness-related payroll entries.
- Work with payroll and HR teams at client companies to test and validate code setup during onboarding.
- Stay up to date on payroll system capabilities and compliance requirements related to benefit deductions and wellness reimbursements.
- Support audits and compliance reviews by providing clear documentation of payroll code setups.
Requirements:
- 3+ years working within payroll systems, ideally in configuration, setup, or payroll operations (not necessarily processing payroll).
- Deep knowledge of payroll platforms such as ADP, Paychex, Paycom, Gusto, Workday, or similar.
- Strong understanding of how deductions and reimbursements flow through payroll systems.
- Excellent attention to detail and strong organizational skills.
- Strong communication skills; able to translate technical setup requirements to non-technical stakeholders.
- Ability to manage multiple projects and deadlines in a fast-paced environment.
Nice to Have:
- Experience working in or with wellness or benefits-related programs.
- Familiarity with HRIS integrations and system mapping.
- Prior client-facing experience is a plus. Manage end-to-end payroll processing for all employees, ensuring accuracy and timeliness.
- Administer benefits programs and ensure proper deductions are reflected in payroll.
- Utilize payroll software such as UltiPro, Workday, or Kronos for efficient processing.
- Conduct data entry tasks related to employee hours, deductions, and tax information.
- Prepare and file necessary tax documents in compliance with local, state, and federal regulations.
- Collaborate with the accounting team to reconcile payroll accounts and resolve discrepancies.
- Provide support for audits related to payroll processes and documentation.
- Respond to employee inquiries regarding payroll issues, benefits administration, and tax matters.
Skills
- Strong knowledge of payroll systems including UltiPro, Workday, Kronos, or QuickBooks.
- Proficiency in technical accounting principles related to payroll processing.
- Experience with benefits administration and understanding of related regulations.
- Excellent data entry skills with a high level of accuracy.
- Familiarity with tax regulations affecting payroll processing.
- Strong analytical skills with attention to detail.
- Ability to work collaboratively within a team environment while managing multiple priorities.
- Effective communication skills to interact professionally with employees at all levels.

Pay: $65,000.00 - $78,693.00 per year
